How to export contacts from Outlook 2003, 2007 and Outlook Express

Want to learn how to export contacts from Outlook? I work at an office where there are three versions of Office installed on employee computers: Office 2007, Office 2003, and Office 2000! And when people switch computers, I usually end up having to export their email and their contacts to a different computer, which has a different version of Office installed.

And if you create multiple contact folders in Outlook, then you have to export each one of those individually. I’ll show you how to export contacts in these different versions of Outlook.

How to export contacts from Outlook 2003, 2007

Let’s start with the latest and greatest version of Outlook, 2007! Note that the same procedure works for Outlook 2003. First open Outloo and then go to File and then Import and Export.

From the list, choose Export to a file and then click Next.

From the list, choose Person Folder file (.pst). I prefer to export it out as a PST file so that it can easily be imported into another Outlook, even of a different version.

Now you’ll get a list of all of your folders, including the Inbox, Calendar, RSS feeds, etc. Click on Contacts since we want to export Outlook contacts only. If you have created other contact folders inside the main contact folder, be sure to check off the Include subfolders box.

Click Next and then choose the location for your backup file. Make sure to browse to some other location as Microsoft defaults to a hidden folder. Click Finish and you’re done!

How to export contacts from Outlook Express

Outlook Express is slightly different, but pretty simple also. First, open Outlook Express and then go to File, choose Export, and then choose Address Book.

Click on Text File (Comma Separated Values) and then click Export.

Click Browse to specify a location to save the file or type it in manually.

Click Next and then choose all of the fields that you want to export for each contact, i.e. First name, Email address, Street, Company, Phone, etc.

Click Finish and you’re done! In another post, I’ll write about how you can export contacts from Yahoo or Google GMail. Enjoy!

Hi Ajay, can you explain your question a little more clearly…what do you mean by directly populate your email account address to any email client? Are you asking if there is a way to take your address book from any email client and import into another email client?

If you have folders in your Outlook Express addressbook, the export only includes the top level (main identitie’s contacts). There seems no way to export contacts in the folders.

I am trying to important contacts from OUtlook 2007 into iphone 3g. I have several sepearate phone books, by country in outlook, be iphone does not recognize either outlook categories nor country as a group and so all contacts are imported into one huge unusable phone contact list. IN other words the “group” listing that itunes offers in the sync process does not recognize the category in outlook nor will it allow country to serve as a group.

I exported contacts from Outloook 2003 and imported the same in Outlook 2007. I have made several sub-folders within Contacts.
Nw, all sub-folders show OK in Outlook 2007 Contacts. But while sending a message if I click on `To’ only the main Contacts folder shows, no sub-folders.

Please advise how to see the sub-folders while sending messages.

You need to click on install when that window pops up and have your original installation disk handy. You probably originally installed Office for a user on that computer instead of for ALL users of that computer so some of the installation files are missing for the user.

OK, i am tech savvy but not an expert but i figured something out that may help people on this log–

i wanted to get my contacts from Outlook 2007 to Yahoo Mail. I am not an anti-microsoft nut but was not easy to do–i am convinced that Microsoft wants to make it as difficult as possible to get your info into other programs.

Anyway, here is one way to do it. first you need to get your Outlook contacts in a .csv file. Go to file, import export, export to a file, then select CSV (windows) select your contacts file in Outlook and save the CSV file to your desktop.

Next, in Yahoo mail, make sure you are using “Yahoo Classic” mail–not the newest version. This is important. Click on the “contacts” tab then click “import export” on the upper right corner. Select import from Outlook csv file then browse to the CSV file on your desktop. It will pull all the contacts in the CSV file in.

I was thrilled to see Justin’s solution. Although my 2003 never gave me the option to save the CSV file to my desktop. Had to run a search to find it and then save to desktop. Unfortunately, when I get to the final stage of importing to Yahoo (classic), clicking on their buttons does absolutely n-o-t-h-i-n-g!!!!!!!!!! I’m pretty exasperated with them. 80% of the time their “new” mail won’t load and I have to go to classic anyway. I do a lot of IM-ing and can’t do it from classic. Phooey on them!

thx. now what if you can’t export from a pst file (too large to email). I exported to an excel file..and it imported all the info to a 2007 version – except the email addresses! am I missing anything? Or is my only option a pst file? 1. Open outlook right click on the Contacts folder
2. Select properties
3. Click on Outlook addess book tab
4. Check mark Show this folder as an email address book.
5. Click apply and Ok
6. Close outlook and reopen it and check.

I heard about not bad application-.pst convert contacts .vcf, can extract your contacts from files with *.ost and *.pst extension and convert it to *.vcf files. Other files can be extracted in *.eml and *.txt formats, another option consists in transforming *.ost file to a *.pst one.

This worked great on my computer, especially because I create the “contact” file for every person/e-mail that I have/know. Unfortunately, my colleagues do not follow this same procedure. They simply type in the e-mail once, and do not create the contact, but it is saved by outlook (somewhere) because as soon as you type the e-mail address it autofills. For example if I type “a”, it’ll say “axxx@yahoo.com; a@hotmail.com; a@microsoft.com, etc. What about does e-mail addresses? How do I retrieve those? Thanks!

I found an answer to the problem of “no import/export option on the file menu” …
R-click on the Menu,
Customize,
Commands,
select File,
scroll right panel to “Import and Export”
drag it up and drop it in the “File” listing.

Hi ajay,
I tries to export my contacts from outlook 2007 to windows live hotmail. I followed the instructions under the help section in my outlook 2007 and when I get to the final step where it says it is doing the export/import I get a message that says my windows has stopped working. I have attempted this export many-many times and get the same msg at the end. Also, my windows is still open and I should also say that my outlook is not through work and it is not my primary email.

My contacts are my lifeline —- what do I do???

This can’t possibly be brain surgery. Shouldn’t you just simply be able to go into your contact list in Outlook 2003, select all the the contacts (edit, select all, edit, copy) and then go into the contacts list in Outlook 2007 and right click, paste????

For Christ’s sake, these are computers! Following the instructions that you come across in the help section for Outlook doesn’t work. I’m the only user on my computer which makes me the ADMINISTRATOR. But I apparently can’t copy the pst file because I’m not an administrator. Doesn’t this seem like a ploy that Microsoft uses to get us all to buy their file transfer programs?

Hi, I tried using what they said here. But I was frustrated too. I had a new laptop I was trying to get my old outlook info to my new outlook (another computer) Here is what worked: I exported my outook (File to Import/Export) Used Export to File, hit next and then CSV for windows. Next select the contact folder and save it. When you go to the other system go to file import/export again but this time import from another program. (make sure you are in contacts when you do this) Import the csv file you saved. This worked perfect for me. My directions may seem confusing because I was trying to abbreviate. The csv went very smooth. I kept trying the pst file but that was not working.

Tried to open file in F:\drive and got following message:

Hello,
I need a way to export all of my contacts and email addresses from Outlook (contacts and inbox) to an Excel Spreadsheet. When I try to do the above instructions it comes back saying that I need the ‘Microsoft Office 2000 SR-1 Professional’ CD-ROM. I do not have this CD-ROM, is there any way to get around this? Pleeasse help!

I am trying to learn to use Business Contact Manager. I want to COPY some of my Outlook Contacts (those under the Catagory of “client”)to Business Contact Manager.

Can I export (not move, but copy) those particular Contact records to BCM?

BACKGROUND: I’ve always used Outlook Express because I don’t need the power or additional features of Outlook. I Just updated to Office 2007 Pro. It came with Outlook w/ Business Contact Mgr. My Address Book was “hi-jacked” from my Outlook Express. Now my Address Book in Outlook Express defaulted back to an address book from 2004 and my current address book is now in Outlook Contacts. QUESTION: How do I get my current Address Book back into Outlook Express? I would like to continue using Outlook Express. Thank you for any help.

To COMMENT #63, “Be”: THANKS SO MUCH for stating how to add the import/export feature. I didn’t have it listed under file and it appears a lot of others dont either. here’s the instructions again on HOW TO ADD THE IMPORT/EXPORT FEATURE:
I found an answer to the problem of “no import/export option on the file menu” …
R-click on the Menu,
Customize,
Commands,
select File,
scroll right panel to “Import and Export”
drag it up and drop it in the “File” listing.

We have three Outlook accounts for each person in our office because of the fact that we are running three companies from one office. Is is possible to take the contacts from the main account and transfer them to the other two accounts in one step? Question though, my corporate connection with MS Outlook will be disconnected next week at some point and I need to reconnect with my business contacts from Gmail with my AT & T Blackberry 8310, how can this be accomplished?

Help!!! I don’t know if this is the proper forum for this but I have a question concerning microsoft outlook 2007. I just got done doing a system recovery so I naturally had to reload all my software. Using your suggestions I was able to save my contacts as a pst. file. Unfortunately I have no idea of what password if any that I used for to save those files but now that I’m trying to reimport them back into outlook I’m hitting a snag because it’s asking for a password. Microsofts help line is no help because they claim there is no way to get a new password with the old one, duh! (catch 22). If you haven’t got any suggestions on how to import this file can you at least point to a program that can actually open the file in a readable format and then I can painstakingly manually enter the addresses. You help would be greatly appreciated. Thanks.

Same as #105: this should be very simple, but after 3-4 hours of research, can’t seem to find a way to email a group of contacts from Outlook Express to a friend.

I can export my entire address book, but that’s not what I want to do. Just want to send a route list to someone else so they can email the group.

This may have already been asked and answered? However I have a home/business network with 5 computers. 3 with Vista 2 with XP. Also I depend on a handhelp [Motorola Moto Q9c] for my business needs. I am trying without luck to consolidate/standardize/syncronize all together with one universal contact list? I have Outlook 2007 on all. #115. You can just copy you local pst file to a new computer in the same directory. You can find it in C:\Documents and Settings\’Your user name’\Local Settings\Application Data\Microsoft\Outlook\Outlook.pst. Directory you need you can find in the menu FILE > FILE DATA MANAGMENT. You also have additional list of sent contacts in: C:\Documents and Settings\’Your user name’\Application Data\Microsoft\Outlook. I mean Outlook.NK2.

Despite trying over and over many times over a long period of time I have been unsuccessful. All I want to do is save my contact list to a flash (E) drive so I can take it with me on trips and so I’ll have it when my computer dies. I have Outlook Express, but your directions don’t jibe with what I have. Addresses refuse to be saved in a folder. I don’t have a server like AOL which saves the addresses so I am totally at a loss when I’m away from home. Please help with simple directions.

Looking for help with exporting only certain contact CATEGORIES. Is that possible? Or do I have to live with exporting them into another program, such as Excel and sorting data by column to generate a mailing list for 1 or more contact categories.

It worked fine to export the contact folder into a folder. But afterwards to import this folder to the outlook on my new computer it did not work. It says the file is not an .pst file (but it was) and the system does not import.

In Outlook 2007, the File menu does NOT have the option “Import/Export” available, hence I cannot export any data. I am signed in as a user with administrative priveledges.

Regarding 27, To sync outlook 2007 contacts with yahoo mail you need to be certain to do one more thing. Export the file to a Comma Separated Values (DOS) — not (windows).

Hi, I tried using what they said here. But I was frustrated too. I had a new laptop I was trying to get my old outlook info to my new outlook (another computer) Here is what worked: I exported my outook (File to Import/Export) Used Export to File, hit next and then CSV for windows. Next select the contact folder and save it. When you go to the other system go to file import/export again but this time import from another program. (make sure you are in contacts when you do this) Import the csv file you saved. This worked perfect for me. My directions may seem confusing because I was trying to abbreviate. The csv went very smooth. I kept trying the pst file but that was not working.

Hi, I want to export all of my contacts from Outlook 2007 ( windows home vista) – to a pst (or excel) file, it keeps asking me for a password, have tried entering nothing and then entering something and it alwys ends up that the exported info won’t open and message says ‘read only or file is corrupted’. I have tried moving the contacts from the business contact manager to simply the contacts and friends section to see if that makes any different but it doesn’t. I did it once before from your instructions and now for some reason I can not export my contacts.

When I follow the instructions to export Outlook Express address book, it transfers to the Windows 7 operating system as an Excel file, and does not plug itself into the Contacts folder on Live Mail, so is virtually worthless. Is there a remedy? If so, how is it done? As an aside, why the hell didn’t MS provide a method that is easy to find and implement for this? The question will occur to thousands and thousands of MS 7 users!!

To export distribution lists only, copy them to a sub folder under Contacts. Export as a PST file and when you go to import the PST it will place the sub folder in the same spot. Works great.

I have the opposite problem: A client wants to delete old contact lists. She has several contacts folders in outlook. Where are these files on the disk (so I can just delete them)? I have one contacts folder myself. When I look in C:\documents and settings\My userid\Local Settings\Application Data\Microsoft\Outlook I see my .ost file and my current archive file. Where are the contacts?

You need to click on install when that window pops up and have your original installation disk handy. You probably originally installed Office for a user on that computer instead of for ALL users of that computer so some of the installation files are missing for the user.

I am having the above mentioned problem. But i do not have the installation disk. Outlook was pre-installed by Dell when i bought my computer. How then do i install it?

I am trying to transfer my email contacts from Outlook Express 6 on an old computer to Outlook 2007 on a second computer. I want to include the various contact lists that I’ve created in Outlook Express. I have both a .wab file and a Comma Separated Values file from Outlook Express. I could not find a way to use the .wab file, and when I use the CSV file from Express, I get the individual contacts in Outlook but not the email lists.

I had to go into the .csv file and delete many of the columns that had no information in them. After that, it finally imported all 230 of my contacts. I hate Yahoo mail, but had to use it instead of Outlook for several reasons.

I had a total system failure on my old computer which was using Outlook 2003. My new computer (MB, HD, CPU, etc) is using Outlook 2007. I have managed to remove the HD from the old PC and can access (see) files with the new PC (I set it up as external HD with USB connection). Ultimate goal is to get the contacts off of old HD (outlook 2003) and import them onto the new computer (outlook 2007). In an attempt to export the contacts from the old PC, I tried starting the old Outlook 2003…this failed…(I get the message “MS Outlook has not been installed for current user. Please Run Setup to install the application”).

I have Outlook 2007 already installed. Can you help me with the issue? How do I run setup (or can I considering I have Outlook 2007 already installed)?

Followed directins above and Exported from an Outlook 2002 (that is what help lookup said) to a backup.pst file on an external F drive.

When I try to import it into the new Computer’s Outlook 2007 I gety a message that backup.pst file is already in use. It asks for an ok and then does not do anything.

What should I do?

I have tried unsuccessfully for years to solve many of the problems posted, here. For those of you more frustrated than I, this is what I do, now: Stop expecting Outlook (any version) to store your important contact, calender, etc. data (if you ever expect to recover or move it, later). Use an online service (I use Windows Live). Install Outlook Connector. Update your data through that safe online source. Outlook will show the data you have created. This does not work the other way around. In other words, don’t put new data directly into Outlook. Future problems solved, at least for me.

Okay, after years of trying, this is what works for me: Continue to use and enjoy the benefits of Outlook, whatever version you use. Stop expecting Outlook to store and move your data. I use an online source, such as Windows Live to input all new data (contacts, calendar, etc.). Installing Outlook Connector will show it all in one easy place in Outlook. No more need to find or move your data from Outlook, directly. Sorry, I have given up on trying and failing time and again. My future problems are solved. Best of luck to all of you!
