How to export contacts from Outlook 2003, 2007 and Outlook Express

Want to learn how to export contacts from Outlook? I work at an office where there are three versions of Office installed on employee computers: Office 2007, Office 2003, and Office 2000! And when people switch computers, I usually end up having to export their email and their contacts to a different computer, which has a different version of Office installed.

And if you create multiple contact folders in Outlook, then you have to export each one of those individually. I’ll show you how to export contacts in these different versions of Outlook.

How to export contacts from Outlook 2003, 2007

Let’s start with the latest and greatest version of Outlook, 2007! Note that the same procedure works for Outlook 2003. First open Outloo and then go to File and then Import and Export.

From the list, choose Export to a file and then click Next.

From the list, choose Person Folder file (.pst). I prefer to export it out as a PST file so that it can easily be imported into another Outlook, even of a different version.

Now you’ll get a list of all of your folders, including the Inbox, Calendar, RSS feeds, etc. Click on Contacts since we want to export Outlook contacts only. If you have created other contact folders inside the main contact folder, be sure to check off the Include subfolders box.

Click Next and then choose the location for your backup file. Make sure to browse to some other location as Microsoft defaults to a hidden folder. Click Finish and you’re done!

How to export contacts from Outlook Express

Outlook Express is slightly different, but pretty simple also. First, open Outlook Express and then go to File, choose Export, and then choose Address Book.

Click on Text File (Comma Separated Values) and then click Export.

Click Browse to specify a location to save the file or type it in manually.

Click Next and then choose all of the fields that you want to export for each contact, i.e. First name, Email address, Street, Company, Phone, etc.

Click Finish and you’re done! In another post, I’ll write about how you can export contacts from Yahoo or Google GMail. Enjoy!

I have several sepearate phone books, by country in outlook, be iphone does not recognize either outlook categories nor country as a group and so all contacts are imported into one huge unusable phone contact list.     You need to click on install when that window pops up and have your original installation disk handy. You probably originally installed Office for a user on that computer instead of for ALL users of that computer so some of the installation files are missing for the user.

    i wanted to get my contacts from Outlook 2007 to Yahoo Mail. I am not an anti-microsoft nut but was not easy to do–i am convinced that Microsoft wants to make it as difficult as possible to get your info into other programs.

    Anyway, here is one way to do it. first you need to get your Outlook contacts in a .csv file. Go to file, import export, export to a file, then select CSV (windows) select your contacts file in Outlook and save the CSV file to your desktop.

    Next, in Yahoo mail, make sure you are using “Yahoo Classic” mail–not the newest version. This is important. Click on the “contacts” tab then click “import export” on the upper right corner. Select import from Outlook csv file then browse to the CSV file on your desktop. It will pull all the contacts in the CSV file in.

    I was thrilled to see Justin’s solution. Although my 2003 never gave me the option to save the CSV file to my desktop. Had to run a search to find it and then save to desktop. Unfortunately, when I get to the final stage of importing to Yahoo (classic), clicking on their buttons does absolutely n-o-t-h-i-n-g!!!!!!!!!! I’m pretty exasperated with them. 80% of the time their “new” mail won’t load and I have to go to classic anyway. I do a lot of IM-ing and can’t do it from classic. Phooey on them!

    2. Select properties
    3. Click on Outlook addess book tab
    4. Check mark Show this folder as an email address book.
    5. Click apply and Ok
    6. Close outlook and reopen it and check.

    This worked great on my computer, especially because I create the “contact” file for every person/e-mail that I have/know. Unfortunately, my colleagues do not follow this same procedure. They simply type in the e-mail once, and do not create the contact, but it is saved by outlook (somewhere) because as soon as you type the e-mail address it autofills. For example if I type “a”, it’ll say “axxx@yahoo.com; a@hotmail.com; a@microsoft.com, etc. What about does e-mail addresses? How do I retrieve those? Thanks!

I followed the instructions under the help section in my outlook 2007 and when I get to the final step where it says it is doing the export/import I get a message that says my windows has stopped working. I have attempted this export many-many times and get the same msg at the end. Also, my windows is still open and I should also say that my outlook is not through work and it is not my primary email.

    This can’t possibly be brain surgery. Shouldn’t you just simply be able to go into your contact list in Outlook 2003, select all the the contacts (edit, select all, edit, copy) and then go into the contacts list in Outlook 2007 and right click, paste????

    For Christ’s sake, these are computers! Following the instructions that you come across in the help section for Outlook doesn’t work. I’m the only user on my computer which makes me the ADMINISTRATOR. But I apparently can’t copy the pst file because I’m not an administrator. Doesn’t this seem like a ploy that Microsoft uses to get us all to buy their file transfer programs?

I had a new laptop I was trying to get my old outlook info to my new outlook (another computer) Here is what worked: I exported my outook (File to Import/Export) Used Export to File, hit next and then CSV for windows. Next select the contact folder and save it. When you go to the other system go to file import/export again but this time import from another program. (make sure you are in contacts when you do this) Import the csv file you saved. This worked perfect for me. My directions may seem confusing because I was trying to abbreviate. The csv went very smooth. I kept trying the pst file but that was not working.

Is is possible to take the contacts from the main account and transfer them to the other two accounts in one step? I do not want to have to retype each one into the other two accounts if I don’t have to.

I just got done doing a system recovery so I naturally had to reload all my software. Using your suggestions I was able to save my contacts as a pst. file. Unfortunately I have no idea of what password if any that I used for to save those files but now that I’m trying to reimport them back into outlook I’m hitting a snag because it’s asking for a password. Microsofts help line is no help because they claim there is no way to get a new password with the old one, duh! (catch 22). If you haven’t got any suggestions on how to import this file can you at least point to a program that can actually open the file in a readable format and then I can painstakingly manually enter the addresses. You help would be greatly appreciated. Thanks.

    #115. You can just copy you local pst file to a new computer in the same directory. You can find it in C:\Documents and Settings\’Your user name’\Local Settings\Application Data\Microsoft\Outlook\Outlook.pst. Directory you need you can find in the menu FILE > FILE DATA MANAGMENT. You also have additional list of sent contacts in: C:\Documents and Settings\’Your user name’\Application Data\Microsoft\Outlook. I mean Outlook.NK2.

All I want to do is save my contact list to a flash (E) drive so I can take it with me on trips and so I’ll have it when my computer dies. I have Outlook Express, but your directions don’t jibe with what I have. Addresses refuse to be saved in a folder. I don’t have a server like AOL which saves the addresses so I am totally at a loss when I’m away from home. Please help with simple directions.

    Hi, I tried using what they said here. But I was frustrated too. I had a new laptop I was trying to get my old outlook info to my new outlook (another computer) Here is what worked: I exported my outook (File to Import/Export) Used Export to File, hit next and then CSV for windows. Next select the contact folder and save it. When you go to the other system go to file import/export again but this time import from another program. (make sure you are in contacts when you do this) Import the csv file you saved. This worked perfect for me. My directions may seem confusing because I was trying to abbreviate. The csv went very smooth. I kept trying the pst file but that was not working.

    You need to click on install when that window pops up and have your original installation disk handy. You probably originally installed Office for a user on that computer instead of for ALL users of that computer so some of the installation files are missing for the user.

    I had a total system failure on my old computer which was using Outlook 2003. My new computer (MB, HD, CPU, etc) is using Outlook 2007. I have managed to remove the HD from the old PC and can access (see) files with the new PC (I set it up as external HD with USB connection). Ultimate goal is to get the contacts off of old HD (outlook 2003) and import them onto the new computer (outlook 2007). In an attempt to export the contacts from the old PC, I tried starting the old Outlook 2003…this failed…(I get the message “MS Outlook has not been installed for current user. Please Run Setup to install the application”).

    I have Outlook 2007 already installed. Can you help me with the issue? How do I run setup (or can I considering I have Outlook 2007 already installed)?

    I have tried unsuccessfully for years to solve many of the problems posted, here. For those of you more frustrated than I, this is what I do, now: Stop expecting Outlook (any version) to store your important contact, calender, etc. data (if you ever expect to recover or move it, later). Use an online service (I use Windows Live). Install Outlook Connector. Update your data through that safe online source. Outlook will show the data you have created. This does not work the other way around. In other words, don’t put new data directly into Outlook. Future problems solved, at least for me. ;)

    Okay, after years of trying, this is what works for me: Continue to use and enjoy the benefits of Outlook, whatever version you use. Stop expecting Outlook to store and move your data. I use an online source, such as Windows Live to input all new data (contacts, calendar, etc.). Installing Outlook Connector will show it all in one easy place in Outlook. No more need to find or move your data from Outlook, directly. Sorry, I have given up on trying and failing time and again. My future problems are solved. Best of luck to all of you! :)
